Setting Up Your Home System to Use Your LLE E-Mail account

Most LLE staff who use an Internet Service Provider (ISP) from home or on the road want to check their LLE e-mail account. Some confusion can develop here since most ISPs give you an e-mail account as part of their package resulting in two e-mail accounts. This information is for users who wish to continue to use their LLE e-mail account in addition to or rather than the one provided by their ISP. This document will detail what changes need to be made and provide instructions for the e-mail software most commonly used at LLE (Outlook, Eudora, Netscape). For other e-mail software the information provided should allow you get your package configured. If you have problems, please contact the LLE Computer Support Group.

There are three things you'll need to know in order to set up your e-mail software:

your Post Office Protocol or POP server address, e-mail address, and Simple Mail Transfer Protocol or SMTP server address (also known as an Outgoing Mail Server).

POP Server:

Your POP server is the address that tells the e-mail software where to go to download your new mail. Your ISP should have given you a "POP3 server" or "incoming mail server" address. For LLE:

mail.lle.rochester.edu

E-mail address:

Your e-mail address is what other people use to write to you. For an LLE user it will be something like:

Joe_user@lle.rochester.edu

SMTP server:

Your SMTP server is what the e-mail software contacts to send your outgoing mail. Your ISP may call this an "outgoing mail server."

For reasons that are beyond the scope of this document it is necessary to configure your e-mail to use some information from your ISP and some from LLE to properly send and receive e-mail on your LLE account from home. Your e-mail will be downloaded directly from LLE's e-mail server (POP Server) but you will use your ISP's e-mail server (SMTP Server) to send E-Mail.

IMPORTANT NOTE!

In the examples presented in this document, Joe_user denoted YOUR user ID. When you change or create your settings, you must substitute YOUR user ID for the word Joe_user. Likewise, the address smtp.frontiernet.net is only for Frontier users. You must use the actual address of YOUR ISP's outgoing mail (SMTP) server. Any other settings can be used literally.

Here are the outgoing mail server addresses for some major Internet Service Providers.

EUDORA:

POP Server:

Eudora specifies the POP server as a POP account which is the first part of your e-mail address, then an @, then the "POP3" or "incoming mail" server. For LLE:

Joe_user@mail.lle.rochester.edu

You put your POP account in the Getting Started section of the Tools: Options menu or Special: Settings in Eudora. You should see a window like this:

E-mail address:

Your e-mail address is what other people use to write to you. As shown above it will be of the form:

Joe_user@lle.rochester.edu

SMTP server:

This is the piece you will need from your ISP. Refer to the table for your provider and note that there's no @ in the SMTP setting. The SMTP server goes in the Hosts section of the Tools: Options or Special: Settings menu in Eudora. That window will look like:

Eudora should now be correctly configured.

Outlook and Outlook Express

These packages specify the server names without adding usernames or other information.

Outlook and Outlook Express specify your SMTP server as your Outgoing Mail Server. Go to tools: accounts and you will see a screen like this:

Double click on the account that points to your LLE mail and you will see a screen like:

Enter you personal info and e-mail address then click on the Servers tab to get the server information screen:

Enter mail.lle.rochester.edu for the Incoming Mail (POP3) server and your ISP's SMTP server for the Outgoing Mail (SMTP) server. For example an MCI user might enter:

Your mail will now be sent via your ISPs outgoing mail server.

Netscape Messenger (Version 4.0 and up)

All the server information can be set in one location with Netscape. Go to the Edit:Preferences menu and you will see a screen like:

Just substitute your LLE e-mail name (username) and your ISP's SMTP server. Refer to the table for your particular ISP. For other e-mail programs or other versions of the programs detailed here, the procedure may be different but your e-mail software will have a similar way of entering this information.
